Below are the different ways in which you can have your mentor accounts set up and how to do it:

1. Default Setting - Everyone sees everything

You can have all of the mentors able to see everything, which includes cases and incidents that other mentors are assigned to. This is the default setting so no changes need to be made.

2. Sandboxing - Mentors only see what they are assigned to

You can lock the mentor accounts down so that they will only see what they are assigned to. This means all new cases raised by the students will initially only be visible by mentors with a higher permission level: Head mentors. The head mentor will then be able to assign the case to an appropriate mentor to handle.

This means that any sensitive data will only be seen by the relevant people.

You can still link a normal mentor into a case, even if they aren’t a head mentor.

This function is called sandboxing and you will need to get in touch with one of the customer support team to make these amendments.

 3. Head mentors

Head mentors have a higher level of access than mentors. All new cases raised by students will go straight to the head mentors and they will be able to assign them to an appropriate member of staff.

Head mentors also have the ability to reveal who a student is straight away, if necessary. They also have an overview of all open cases and incidents, meaning that if sandboxing is turned on (SEE No.2), they will still be able to see everything.

HOW: Steps 2 and 3 can only be made by getting in touch with the customer support team. You can call then on 01289 541 991 or email them at: support@tootoot.co.uk
